What RSVP means and how to get guests to actually reply

5 min read

The venue will ask you for one number: how many people. How to collect replies politely and without pressure, instead of assuming «everyone comes to a wedding».

A week before the wedding, the venue manager calls: «We need your final number». This is the moment many couples open their list and find that of the 300 people invited, 40 have replied. For the rest there is only guesswork: «my uncle will probably come». This article is about turning that guess into a number: what RSVP means, how to ask for a reply politely and what to do about guests who stay silent.

What RSVP means

RSVP is short for the French phrase «répondez s'il vous plaît», meaning «please reply». On an invitation it is a simple request: let us know whether you are coming. Funnily enough, in France itself the abbreviation now sounds formal and old-fashioned, and people more often write «Réponse attendue avant le...», meaning «reply expected by...». That is the whole idea: a request and a specific date.

In Azerbaijan «everyone comes». So why ask?

In Azerbaijan, replying to a wedding invitation is not a strong habit. Many guests feel that if they were invited, coming is a given, and saying «I'll be there» is unnecessary. Others feel awkward saying no and simply stay quiet. English-speaking countries have a format for this, «regrets only»: only those who cannot come reply. In Azerbaijan, often not even they do.

The trouble is that a toy (an Azerbaijani wedding) is costed per head. Venues usually price the menu per person, the number of tables comes from the guest count, and a seating plan needs a chair for every name. Getting it wrong costs you either way:

  • Number too high: you pay for every empty seat, and a corner of the hall looks half empty.
  • Number too low: an extra table goes in at the last minute, guests are squeezed, someone is hunting for a seat.
  • No number at all: you cannot build a seating plan, and the «which table are we at?» queue starts at the door.

How to ask for a reply in the invitation

Asking for a reply is not rude, you just need the right tone. Give the reason and name the date. A short «so we can prepare the tables» turns a demand into care. Some examples:

  • We would be delighted if you could let us know by 15 November whether you can come.
  • To save a seat for you, we look forward to your reply by 15 November.
  • Kindly confirm by 15 November. We are arranging the tables based on your replies.
  • If you cannot make it, just let us know. We will completely understand.

Phrases to avoid: «No reply means you are not attending», «No seat without confirmation». They turn an invitation into an ultimatum and are especially hurtful to older relatives.

The deadline: 10 to 14 days before the wedding

Set the last day for replies 10 to 14 days before the wedding. That gives you time to reach silent guests and a few calm days for the seating plan. Venues usually want the final number a few days before the wedding, so check your contract. Write the date out in full: not «two weeks before», but «by 15 November». Guests should not have to do any maths.

No reply: one reminder, then a call

  1. 013 to 4 days before the deadline: a short, personal reminder to those who have not replied. Not in a group chat, one by one.
  2. 02Deadline passed: call whoever is still silent. «Are you coming? How many of you?» takes a minute.
  3. 03Older relatives: skip the reminder message and call them directly.
  4. 04Still nothing after a call: put the guest in a separate «unknown» group.

Children and plus-ones: who comes with whom

This is where the number drifts most. An invitation addressed to «Samir Huseynov» can bring Samir with his wife, two children and his sister. You can head this off in how you address it:

  • Name exactly who is invited: «Samir Huseynov and his wife» or «the Huseynov family».
  • Ask for the number of people, children included. «I'll be there» on its own is not a number.
  • Agree with the venue in advance whether small children need their own chairs, and list children separately.
  • If single friends get a plus-one, say so clearly. If not, address the invitation to them alone.

Said yes but did not come, came without replying

Both happen, and they often partly cancel each other out. Someone who confirmed falls ill on the day or cannot get back from a trip. Meanwhile a distant relative who never replied appears at the door in the evening, because for them the invitation itself already meant «I'll be there». So keep your list in three parts: confirmed, declined and silent. Split the silent group into «definitely coming» (close family and elders, who often do not reply but do come) and «unknown».

The final number for the venue

Build the final number like this: the confirmed headcount, plus the «definitely coming» group, plus a small buffer. In practice a buffer of 3 to 5 percent is usually enough. For example, Cavid and Səbinə invited 280 people. By the deadline 210 had confirmed, 25 had declined, and 20 silent close relatives sat in the «definitely coming» group. 210 plus 20 makes 230, add roughly 4 percent and they tell the venue 240. They do not set up a separate table for the remaining 25 silent guests: anyone who turns up takes a spare seat.

All replies in one place

When WhatsApp messages, phone calls and news like «mum says my aunt is coming» live in different places, the number changes every day. Replies need to land in one place. Our invitations have a reply form for this: the guest taps «I'll be there» or «I can't make it» and enters how many people are coming. There is deliberately no «maybe» button, because a venue cannot cater for «maybe». If you set a reply deadline, the invitation shows it to guests and the form closes once it passes.

The couple sees the totals in their account: how many people are coming, who declined, who has not replied yet. For guests with a personal link you can also see who opened the invitation without replying and who has not opened it at all, and a reminder goes out on WhatsApp with one tap. Phone replies can be added by hand, the list exports to Excel, and the confirmed count flows straight into the seating plan.

Quick answers

What does RSVP stand for?

The French «répondez s'il vous plaît», meaning «please reply». The invitation asks guests to say by a set date whether they will attend.

What reply deadline should we set?

10 to 14 days before the wedding. That leaves time to call silent guests and build the seating plan calmly.

How do we count guests who never replied?

Send one reminder, then call. If there is still no answer, count close family as coming and keep a 3 to 5 percent buffer of seats for more distant guests.
