Hair and makeup take longer than you think, and Baku traffic steals half an hour from the photo session. A realistic schedule from 9 am to the last dance, with buffer rules.
The thing that runs late most often on a wedding day is hair and makeup. The stylist is booked for «two hours», but then come the veil, the earrings, the phone calls and the «one second, let's take a photo», and it often stretches to three. A 40-minute delay in the morning pushes the whole day back: the bride's send-off starts late, the photo session gets cut short, and everyone rushes to the hall.
Below is a sample schedule for a typical evening wedding in Baku. Customs differ between regions and families: in some places the bride is fetched earlier, in others the celebration starts at midday. Adjust the times to your family, the logic stays the same.
Sample schedule: guests arrive at 18:00
- 0109:00. The bride gets up and eats a proper breakfast. The next real meal may not come until around 19:00.
- 0210:00 to 13:00. Hair and makeup. Book the stylist for 3 hours, not 2. If the mother and sisters are getting ready too, you need a second stylist or a separate slot.
- 0312:30. The photographer arrives. The last half hour of makeup, the dress on its hanger, the shoes and the veil make the most natural shots of the day.
- 0413:00 to 14:00. The bride gets dressed, family photos at home. This hour doubles as your first buffer.
- 0514:00 to 15:00. The groom's family arrives to take the bride: gəlin çıxartma (the bride's send-off from her parents' home), goodbyes and «Vağzalı».
- 0615:00 to 16:45. Photo session: a park, the Boulevard or İçərişəhər (the Old City), travel time included.
- 0717:00 to 17:45. The couple reaches the hall and rests in a side room while makeup gets touched up. Do not cut this half hour.
- 0818:00. Guests arrive. Background music plays while people find their tables.
- 0918:40. The bride and groom enter the hall, followed by the first dance.
- 1019:00 to 19:30. The aparıcı (the MC) gives the floor to parents and elders. Keep toasts short so the room does not cool down.
- 1119:30. The band's set. The longest block of live music, with more toasts and family dances in between.
- 1221:00. The wedding cake. The room stands up, and the photographer gets one of the key shots of the night.
- 1322:00. The DJ takes over. Some older guests head home, the younger ones are just getting started.
- 1423:00 to 23:30. Last dance and close. Confirm the end time with the hall in advance so the last dance is not cut short.
Give the bride's send-off a full hour
When the groom's side comes to take the bride from her father's home, it is the most emotional part of the day. In many families a red ribbon is tied around the bride's waist, in some a Quran is held over her head, and she leaves the house to «Vağzalı», the traditional tune played for this moment. All of it takes time: relatives say goodbye, someone always gets teary, everyone wants a photo.
So plan at least an hour, not 30 minutes. In some regions young people stop the wedding convoy on the road and ask for xələt (a small gift): a lovely custom, but it takes time too. Agree with the groom's side in advance that the convoy is at the bride's door at the agreed time, not half an hour later.
Photos and the golden hour
Photographers love the hour or so before sunset, when the light is soft and warm. In Baku that window moves a lot with the season. At the end of July the sun sets at about 19:55, at the end of September around 18:25, at the end of October around 17:40, and at the end of November around 17:15.
That leads to an interesting conclusion. At a summer wedding the golden hour starts when guests are already in the hall, while in autumn and winter the sun sets before you even get there. In autumn, schedule photos between 15:00 and 16:30. In summer, pick a shady park to avoid the harsh daytime light, or step out of the hall for 15 minutes during the party for a few golden hour shots. Either way, count travel time separately: in Baku's evening traffic a 20-minute drive can take 50.
A 20 to 30 minute buffer for every transition
It is tempting to plan the day to the minute, but nothing on a wedding day happens on the minute. The rule is simple: add 20 to 30 minutes to every move from one place to another. Time usually disappears here:
- Hair and makeup run over.
- The groom's side convoy does not gather on time.
- A last-minute problem with the dress, shoes or veil.
- There is no parking at the photo location, so getting back to the car takes 15 minutes.
- On arrival at the hall, the couple needs time to breathe, drink water and fix makeup.
One person runs the schedule
Not the groom, not the bride, not the parents: they have other things to do that day. Pick someone in the family with a knack for organising, a sister, a friend or a cousin, and make them the only «owner» of the schedule. The photographer, the MC, the band and the hall manager go to them with questions, not to the couple.
This person should have three things on their phone: the exact schedule, every vendor's number, and a «what if we're late» plan for each stage. For example, if Murad and Nərgiz are stuck in traffic for 40 minutes, this person calls the hall, warns the MC and pushes the entrance back. Guests find their tables to music, and nobody notices a thing.
What guests need to know, and what only vendors need
Keep two versions of the schedule. The full one is for vendors: from the bride's wake-up time to the last dance, to the minute, with phone numbers. Guests do not need the hair appointment, the photo route or «17:00 the couple arrives at the hall». They need something else: when to come, when the key moments happen, and roughly when the night ends.
The program in the invitation: 4 to 6 items
Nobody reads a 14-item program in an invitation: guests see the first three lines and close it. Four to six key moments are enough: guest arrival, the couple's entrance, live music, cake, DJ. Each item should tell the guest «I want to be in the hall at this time». For example, an older guest who knows when the cake is coming may stay until exactly that moment before heading home.
In E-Dəvətnamə templates the toy proqramı (wedding program) section works exactly like this: each item is a card, and tapping it opens the details. For example: 18:00 Guests arrive, 18:40 The bride and groom arrive, 19:30 Band performance, 21:00 Wedding cake, 22:00 DJ on stage. Details such as parking or dress code live inside the card, so the list itself stays short. If a time changes, you can update the program right up to the wedding day, and guests see the new version at the same link.
